1. Introduction

Welcome to SUN BAY STUDIOS ("we," "us," or "our"). We are committed to protecting your personal information and respecting your privacy. This Privacy Policy outlines how we collect, use, store, and disclose your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. Information We Collect

We may collect the following types of personal information to provide our web design, photography, and videography services:

  • Contact Details: Name, email address, phone number, and business address.

  • Business Information: Information relevant to the design of your website or media requirements.

  • Media Assets: Photographs and video footage taken during business shoots for the purpose of your branding and marketing.

  • Login Credentials: Temporary access to existing accounts (if strictly necessary for migration or setup), though we strongly recommend specific sharing protocols (see Section 7).

  • Website Usage Data: Information on how you interact with our website, collected via cookies and Google Analytics 4 (GA4).

3. How We Collect Information

We collect information directly from you when you:

  • Enquire about our services via email or our website.

  • Engage us to build a website or conduct a photo or video shoot.

  • Share assets or credentials with us to facilitate a project.

4. Payment Information

We do not collect, store, or process your credit card or payment details directly.

  • Our Invoices: Payments for our services are processed via:

  • Bank Transfer: Directly to our Macquarie Bank account.

  • Secure Payment Processors: Via Stripe or Square.

  • Your financial data is not held on our internal systems; these transactions are handled by the respective third-party banking and payment providers.

5. Use and Disclosure of Information

We use your information to:

  • Deliver web design, photography, and videography services.

We may disclose your personal information to the following third-party service providers for the purpose of delivering our services:

Cross-Border Disclosure:

Some of our service providers (such as Google and Framer) may store data on servers located outside of Australia (e.g., in the United States). By providing your personal information, you consent to this transfer.

6. Commercial Confidentiality

We understand that during the course of our engagement, we may discuss matters or view information that is commercially sensitive or privileged (such as trade secrets, unreleased product strategies, or internal financial data).

  • Our Commitment: We treat all such business information as strictly confidential.

  • Non-Disclosure: We will not disclose commercially privileged information to any third parties, competitors, or the public without your express consent, unless required by law.

7. Data Security

We take the security of your data seriously and implement robust measures to protect it from unauthorised access, loss, or misuse.

  • Storage: Media assets (photos and video) and business documents are stored in Google Workspace, protected by 2-Factor Authentication (2FA) and Biometric security measures.

  • Password Management: Internal passwords and credentials are stored using Apple Keychain, secured with 2FA and security time delays.

  • Client Password Sharing: We strictly recommend that clients never share passwords via plain text email. We advise using a "one-time share" link from a premium password management system (such as 1Password or LastPass) to ensure credentials remain encrypted and temporary.

8. Cookies and Analytics

Our website uses Google Analytics 4 (GA4) to understand how visitors interact with our site. This involves the use of "cookies" (text files placed on your device). The data collected (including your IP address) is anonymised and used to generate reports on website activity. You can disable cookies in your browser settings, though this may affect website functionality.

9. Access and Correction

You have the right to request access to the personal information we hold about you or to ask for corrections if it is inaccurate. Please contact us using the details below to make a request. We may require identification to verify your request.
